Session Attendance Tracking Guide

This guide walks event staff and volunteers through using Onsite for attendance tracking. It assumes you are signing in with a Device Token (a code provided by your event organizer).

1. Signing In

When you open Onsite, you will see the Welcome screen.

Because you are using a Device Token, you have two ways to enter your code:

  1. Tap Scan a Code.
  2. Point the camera at the QR code provided by your organizer.
  3. The app reads the code automatically and signs you in.

Option B — Type the code manually

  1. Tap Type in a Code.
  2. In the dialog that appears, type the code exactly as given (e.g. AB12-CD34 ). The field auto-capitalizes.
  3. Tap Submit.

If the code is invalid or expired, an error alert will appear. Contact your organizer for a new code.


2. Selecting an Event

After signing in, you will land on the Events screen.

Events are grouped into three sections:

Section Description
Today's Events Events happening right now
Upcoming Events Events starting in the future
Past Events Completed events (collapsed by default)

Tap any event to open it. If you have only one assigned event, the app may navigate to it automatically.


3. Navigating the App

Once inside an event, a side menu (or hamburger menu on smaller screens) provides access to all sections available to your device.


Which items appear depends on the permissions assigned to your Device Token:

Menu Item What it does
Attendance Record headcounts for sessions
Guest List Search registrations and check in guests
Sell Sell tickets
Messages View push notifications sent to attendees
Settings Configure device preferences
Switch Event Return to the Events list

If your token does not have permission for a section, that item will not appear in the menu.


4. Tracking Attendance

Viewing Sessions

Tap Attendance in the side menu to see the Sessions screen.

Sessions are grouped as follows:

  • Happening Now — sessions currently in progress
  • Starting Soon — sessions beginning within the next hour
  • Other Sessions — sessions later in the day
  • Past Sessions — sessions that have already ended

Each row shows the session name, room, start and end time, and the current headcount.

Filtering by room

Use the Room dropdown at the top of the screen to show only sessions in a specific room. Your selection is saved automatically for this event.


Recording Attendance

Tap a session row to open the Attendance Detail screen.

Control Action
+  button Add one person to the headcount
−  button Remove one person from the headcount (minimum: 0)

On a physical device, each tap produces a brief vibration to confirm the input.


Manually Overriding a Headcount

If you need to set an exact number (for example, at the start of a session, you counted 47 people), tap the edit icon (pencil) in the top-right corner.

  1. Enter the exact headcount in the number field.
  2. Optionally add a Note to explain the adjustment (e.g., "Counted at door during opening remarks").
  3. Tap Save.

The screen will show a confirmation toast and display the timestamp and name of the last person who recorded the count.

To delete the attendance record for this session entirely, tap Remove Record (shown in red). This action is only available when the device has an internet connection.


5. Settings

Tap Settings in the side menu to configure the device.

General

Setting Description
Keep Screen On Prevents the screen from sleeping while the app is open
Default Page Choose which screen opens first when you enter an event (e.g. Attendance, Guest List)

6. Troubleshooting

Problem Solution
"Invalid device code" when signing in Check for typos. Codes are case-insensitive but must match exactly. Contact your organizer if the problem persists.
"Your session has expired" toast Your Device Token has expired. Request a new code from your organizer.
Attendance counts are not saving Check your internet connection. Changes are saved offline and will sync automatically when you reconnect.
Attendance section not visible Your Device Token may not include attendance permission. Contact your organizer.
